Reviewing payment receipts and proof-of-payment

Every payment on a Habitia lease has a corresponding receipt or proof of payment. Where it lives and how you get to it depends on how the payment came in.

Online payments (Stripe — card or ACH)

When a tenant pays through their portal:

  • Stripe emails them a receipt automatically. The receipt comes from receipts@stripe.com and shows the rent amount, the fee (if the tenant pays it), the date, and your business name. Tenants don’t need to ask you for it.
  • You can see the same payment in the lease’s ledger, in green as an entry like “Rent payment — November 2026” with the method (Card or ACH).
  • The Stripe dashboard holds the full transaction record (Settings → Rent Payments → Open Stripe dashboard). Use it for anything tax-related — Stripe’s reports are the source of truth for online payments.

Tip: You don’t need to do anything to “issue” a receipt for an online payment — Stripe handles it. If a tenant asks for a receipt, point them at the Stripe email or the Payments tab in their portal.

Off-network payments (cash, check, Zelle, ATH Móvil)

For payments you record manually with Recording an off-network payment, there’s no automatic receipt — but you can attach a proof-of-payment file to each entry.

Attaching proof to a payment

  1. Open the lease, scroll to the ledger.
  2. Find the payment row.
  3. Hover. A paperclip icon appears.
  4. Click the paperclip and upload the file (an image of the check, a screenshot of the Zelle or ATH Móvil confirmation, a scanned cash receipt).
  5. The file stays attached to the payment forever.

Tip: For ATH Móvil, screenshot the confirmation screen from the app before you dismiss it. The transaction ID alone is helpful but the screenshot is a real proof.

Why bother

  • Disputes. If a tenant later claims they didn’t pay, the attached screenshot or check image is your evidence.
  • Taxes. At year-end, you can pull every payment with its proof, all in one place, instead of digging through Zelle history.
  • Tenant peace of mind. Tenants can see the attached proof in their own portal — they know you logged it correctly.

What tenants see

In their portal:

  • Online payments — listed in the Payments tab with a “Paid” badge and a link to view the Stripe receipt.
  • Off-network payments — listed the same way, with any proof you attached showing as a “View attachment” link.
  • The ledger — they see the same per-month strip you see, in their own simplified version.

Pre-Habitia historical payments

Payments you backfilled via the I’ll enter charges and payments manually option in Handling a pre-Habitia lease all get the paperclip treatment. Attach the matching receipt, check image, or bank statement page so you have a complete trail before Habitia started.

Downloading a year of payments

For tax season:

  1. Open Reports in the left sidebar.
  2. Pick the Income report.
  3. Filter by date range (e.g., Jan 1 – Dec 31 of last year) and by lease (or leave blank for all).
  4. Export.

Online payments also live in your Stripe dashboard with full tax-ready exports.
