Sending a lease for signature
Once a lease is drafted, the next step is getting it signed. Habitia handles the signing flow end-to-end: emailing the signers, capturing each signature, and flipping the lease to Pending review when everyone’s signed.
1. Open the lease
Go to Leases and click the lease you want to send. A new lease lands in Draft status, with a yellow banner at the top showing what’s still needed.
2. Check the three-item checklist
The banner won’t let you send until all three items are checked:
- Start and end dates — set on the lease itself.
- Signers — at least one signer (the primary tenant by default). Add cosigners or a guarantor from the signers panel further down the page.
- Required documents — the lease agreement and any other docs the signers need to sign. Add them from the Documents section.
A green check (✓) means the item is ready. A bullet (•) means it’s still missing.
3. Click Send for signature
When all three items are checked, the Send for signature button in the banner becomes active. Click it.
Habitia immediately:
- Flips the lease status to Pending signature.
- Emails each signer a link to sign.
- Locks the lease so you can’t change rent, dates, or signers until everyone’s signed (you can still update the documents).
Tip: Signers who already have a Habitia account just need to sign in. Signers who don’t get an invite link that lets them create an account on the spot — no separate registration step needed.
4. Watch progress on the signers panel
Each signer shows one of these badges:
- Invite pending — invite sent, they haven’t signed in yet.
- Pending — they’ve signed in but haven’t signed yet.
- Signed — done.
You can add more signers or remove pending ones while the lease is out — just not the primary tenant.
5. After everyone signs: Pending review
When the last signer signs, the lease moves to Pending review. Open it, give it a final look, and click Activate lease to make it official.
Note: While in Pending review, the tenant can request changes by sending you a note. If they do, you’ll see an amber banner at the top with their request — see the next section.
Returning a lease for changes
You can pull a lease back at any point before activation:
- From the lease detail page, click Return for changes (visible in the status banner).
- Optionally add a note explaining what should change.
- Click confirm.
The lease drops back to Draft. All existing signatures are voided. Make your edits and click Send for signature again — new invites go out, signers re-sign from scratch.
