Inviting team members
If you don’t manage your properties alone, invite your team into Habitia and pick the role that matches what each person needs to do. Roles control what they can see and change — a maintenance tech doesn’t need to see rent ledgers, an accountant doesn’t need to assign vendors.
Open Team (the people icon in the left sidebar). You’re on the Members tab by default.
Note: Only an admin can invite or remove members and change roles.
1. Click Send invite
Top-right of the Members tab. A form opens.
2. Fill in the invite
- Full name (required) — how they’ll appear in the app.
- Email (required) — Habitia sends them a password-setup link here.
- Legacy role (required) — pick one (see the role reference below).
Click Send invite.
3. Share the password-setup link
After the invite is created, Habitia shows you a one-time password-setup link. Two ways to use it:
- The invitee can click the link in their email and pick a password.
- If the email doesn’t arrive, copy the link from the confirmation panel and send it via WhatsApp, SMS, or any other channel.
Note: The setup link expires in 1 hour. If it expires, click the team member’s row and re-invite — Habitia generates a fresh link.
The five roles
Each role grants a fixed permission set. Pick the one that matches the person:

| Manager | Everything an admin can do except manage the org-level subscription, payments setup, and team. Day-to-day operations: properties, units, leases, tenants, payments, work orders, vendors, applications. |
| Maintenance | Read-only on properties/units/tenants. Read+write on work orders, assets, inspections, documents. Designed for a maintenance tech who needs to log work but shouldn’t see the ledger. |
| Accountant | Read-only on properties, units, leases, tenants. Read+write on payments, reports, documents. Designed for a bookkeeper. |
| Viewer | Read-only everywhere. Designed for an owner who wants to see what’s happening but won’t make changes. |
Tip: Start with Viewer when you’re not sure. You can always upgrade later. Downgrading is harder when the person has been making changes for weeks.
4. Permission groups (advanced)
The Roles & permissions tab lets you build permission groups — fine-grained overrides on top of the legacy role. For example, give a Manager-role user write access to billing without making them an admin.
Most landlords don’t need this. Stick with the five legacy roles unless you have a specific gap.
Removing a team member
In the Members tab, click the trash icon on their row and confirm. They lose access immediately. Their historical actions (work orders they logged, etc.) stay attributed to them.
Note: You can’t remove yourself if you’re the only admin. Promote another team member to admin first.
